Collaborative Law App

The Challenge

Truce Law is a family law practice offering court-free collaborative legal services. They had no digital infrastructure. No web app, no automated intake, no way to collect client information and generate legal documents without manual data entry at every step. The goal was to build a system that could onboard clients, capture their information, and generate the correct legal forms without requiring an attorney to manually transcribe everything.

The constraints:

  • Zero existing digital infrastructure to build on
  • Legal forms change annually, so any automation had to account for ongoing maintenance
  • Client data needed to be collected securely (sensitive family and financial information)
  • Budget was minimal. The solution had to work within the existing WordPress tech stack.
  • Legal form logic is complex. Each form has conditional fields that depend on answers to other questions.

My Role

Implementation consultant responsible for end-to-end analytics, development, API configuration.

Key Responsibilities:

  • Conducted discovery sessions with the founding attorney to document workflows
  • Designed information architecture and data flow for the intake-to-document pipeline
  • Configured Gravity Forms API with conditional logic on WordPress
  • Built the PDF mapping layer connecting user input to legal form fields
  • Set up Google Tag Manager for conversion and engagement tracking
  • Iterated on landing pages and onboarding based on analytics data

Approach

Discovery & Architecture (Weeks 1-2):

  • Interviewed the founding attorney to map the current paper-based workflow step by step
  • Identified where automation could reduce friction without sacrificing accuracy
  • Designed information architecture: lead capture, evaluation, onboarding, form generation
  • Documented data flow from user input through to completed PDF output

MVP Build (Weeks 2-5):

  • Started with the educational evaluation first. This captured qualified leads immediately while the more complex web app was still in development.
  • Configured Gravity Forms API on WordPress with conditional logic. A single user form field could map to multiple fields across different legal forms.
  • Built PDF field mapping in Adobe Acrobat DC. User input triggered the correct fields on the correct forms automatically.
  • Recruited a developer to handle secure backend data storage and processing.

Testing & Iteration (Weeks 5-8):

  • Tested the evaluation flow with real users. Adjusted conditional logic based on user drop-off data.
  • A/B tested landing page layouts and messaging for different legal service categories.
  • Monitored conversion funnel in Google Tag Manager. Identified that 40% of potential customers were dropping off at the payment step.

Analytics & Optimization (Ongoing):

  • Set up Google Tag Manager to track specific user actions and conversion goals
  • Confirmed audience persona hypotheses with real behavior data
  • Used insights to build niche ad campaigns targeting specific legal needs
  • Iterated on pricing and service offerings based on what the data showed

The Results

Business Impact:

  • Truce Law achieved 388% ROI in their first year
  • Team scaled 300% in the first year (added new attorneys and staff)
  • Remote consultations and conversions jumped 20% year over year

Operational Efficiency:

  • Eliminated 80% of manual data entry through automated PDF generation
  • Configured conditional logic supporting 50+ legal form variations
  • Implementation cost was under $2,000

Conversion Insights:

  • Niche landing pages optimized CTR by 20%
  • Pivoting from DIY pricing to attorney plans steadily increased conversions after raising prices
  • Clients valued attorney collaboration over lower price points, the data proved it

Solutions to Key Challenges

Legal Forms Change Every Year

State-mandated legal forms update annually. Any automation built around them would break without a maintenance plan.

Solution: Documented exactly which parts of the system needed updating when forms changed: the front-end form fields, the conditional logic, and the Acrobat field mapping. Created a yearly maintenance checklist so the process was repeatable without re-engineering.

____

Conditional Logic Across 50+ Forms

Legal forms aren’t linear. Whether a client has children, owns property, or has a prenuptial agreement changes which fields appear and which forms are needed.

Solution: Built the conditional logic as a branching system within Gravity Forms. Each user answer triggered the next set of relevant questions. The same input could populate fields on multiple forms simultaneously, so clients never entered the same information twice.

____

Converting Leads Without Losing Them

The original evaluation-to-onboarding flow had a 40% drop-off at the payment step. Clients were interested but not converting.

Solution: Analyzed where in the funnel people were leaving and why. The data showed clients wanted attorney involvement more than they wanted the lowest price. Pivoted to self-scheduling attorney consultations as the primary conversion path. Conversions increased steadily, even after service prices went up.

Tools & Methods

  • Platform: PHP, Gravity Forms API
  • Automation: Conditional logic, JavaScript queries, Adobe Acrobat DC field mapping
  • Analytics: Google Tag Manager, conversion tracking, A/B testing
  • Collaboration: Google Workspace, Miro
  • Methodologies: Discovery interviews, MVP-first build, iterative optimization

What I Learned

Building the lead capture tool first was the right call. It gave the business immediate value while the more complex automation was still being built in the second iteration.

The pricing pivot taught me something important about assumptions. Everyone assumed clients wanted the cheapest option. The data said otherwise. Clients in stressful legal situations wanted to feel supported, not just served. That insight shaped everything that came after.
